Booking terms and conditions

1. Definitions

The following terms used in these Booking Terms and Conditions have the meanings set out below.

“Website” means www.caramage.com, published by Caramage and accessible to all Users.

“Caramage”, “we” or “the agency” means Caramage, a travel agency specialising in designing and organising bespoke journeys.

“User” means any person who accesses, browses or uses the Website. “Client”

means any person who requests a quote, accepts a quote or books a journey with Caramage. “Journey” means

all travel services offered by Caramage as part of a bespoke stay, which may include accommodation, transport, activities, visits or accompanying services. “Supplier” means any local

partner providing accommodation, guiding, transport, activities or other services for all or part of the Journey. “Quote” means the

personalised proposal sent to the Client, including the suggested itinerary, included services, price and validity period. “Travel Contract” means the accepted

Quote, these Booking Terms and Conditions and the information provided before the Journey is confirmed, taken together. These definitions

are intended to make the terms easier to understand and clarify the framework within which Caramage designs and organises its journeys.

2. About the agency

Caramage is a travel agency specialising in designing bespoke journeys.

Caramage is a French simplified joint stock company registered with the register of travel and holiday operators maintained by Atout France under number IM075260019.

In accordance with applicable regulations, the agency holds a financial guarantee with Arcus and professional liability insurance with Hiscox, policy number PRC0515246.

These arrangements protect travellers and the proper performance of services.

3. Prices

Prices shown on our website are expressed in euros and provided for guidance only.

They may change due to factors beyond our control, including the

travel season, availability of accommodation or activities, number of travellers, changes to suppliers’ rates and exchange rate fluctuations.

The

contractual price is the price stated in the personalised Quote sent to the Client. Each Quote has a limited validity period.

4. Requesting a quote

You can request a quote through our website or by contacting our team directly. The

more detail you provide, the more closely we can shape the journey around your interests. Proposed dates, interests, travel pace and an indicative budget all help us create your bespoke trip. Once

we receive your request, we prepare a personalised proposal setting out the suggested itinerary and services.

5. Confirming your journey

Your booking takes effect once you have accepted the Quote and paid the deposit.

A

deposit of 35% of the total Journey price is required on confirmation.

The balance must be paid no later than 45 days before departure. If

the balance is more than five days overdue, a late payment charge of €10 per day becomes payable, calculated from the first day of delay. This covers the administration involved in following up late payments, as services must be confirmed and paid for with our partners within the required deadlines.

If the balance is not paid by the due date, Caramage will send a reminder. If full payment is not received within seven calendar days of that reminder being sent, Caramage may notify the Client that the booking has been cancelled. This will be treated as cancellation by the Client, and the cancellation charges in section 8 will apply.

For bookings made fewer than 45 days before departure, full payment is required on confirmation. The

booking becomes final upon receipt of the corresponding payment.

6. Payment

Payment can be made by bank transfer or by card through a secure payment link.

Payments are processed through a secure solution that protects banking details.

An invoice is sent to the Client once payment has been received.

7. Changes to your journey

If you wish to change your Journey after confirmation, we will always do our best to help.

Depending on the changes requested,

administration fees may apply and any price difference for the new services may be charged.
Some

services already confirmed with our partners may no longer be changeable.

8. Cancellation

All cancellation requests must be made in writing.

Cancellation due to the Client’s failure to pay, under section 5, also gives rise to the charges below, calculated according to the date on which Caramage notifies the Client of cancellation.

If the Client cancels for any reason, the following charges apply:

more than 60 days before departure, 35% of the total Journey price;
60 to 31 days before departure, 50%;
30 to 15 days before departure, 75%;
fewer than 15 days before departure, 100%. These charges

reflect, among other things, commitments already made to suppliers in organising the Journey.

Some services, including accommodation, activities, transport tickets or events, may not be changed or refunded once booked. The relevant conditions will be stated in the Quote.

Where the agency books flights on behalf of the Client, full payment for flight tickets is required when the Journey is approved.
Once issued, flight tickets cannot be changed, refunded or cancelled.
Any change or cancellation is subject to the airline’s fare conditions.

Flexible fares allowing changes or refunds may be offered on request at an additional cost.

9. Insurance

We want you to travel with peace of mind, protected against the unexpected. In partnership with a specialist insurer, Caramage offers travel insurance options including cancellation, comprehensive cover and assistance.

Before your journey
: cancellation insurance can cover costs arising from unforeseen events.
Once the Journey is confirmed, cancellation charges may reach 100% of its price.
Depending on the policy selected, these costs may be covered up to €10,000 per person.

During your journey
: medical costs in Japan can be high. Comprehensive insurance can provide medical cover, 24-hour assistance and repatriation.
Depending on the policy, medical expenses may be covered up to €300,000 per person.

Insurance may also cover flights booked independently of Caramage, subject to policy conditions, including the 48-hour purchase deadline.

Insurance is optional.
Certain benefits, particularly cancellation cover, must be purchased within 48 hours of paying the first deposit.

Apply online in two minutes.

10. Unused services

No refund will be given for any service left unused, interrupted or shortened at the traveller’s initiative.

11. Liability

We felt in safe hands from the start

The Caramage team, and Anne in particular, were wonderfully responsive. Their professionalism, warmth and willingness to listen put us at ease straight away. Everything felt effortless. We are from Canada and have recommended Caramage to two friends, who also loved their trips. We would recommend this agency without hesitation.
